This Privacy Notice outlines how Rephael House will protect and use the information you give us. It applies to the personal information of individuals who interact with Rephael House as a client, friend of Rephael House, or staff member (either in a paid or volunteering capacity).

The purpose of this privacy notice is to let you know what personal information Rephael House collects and holds, why this information is collected, how long it will be kept and your rights over your personal data.

Rephael House is committed to complying with the terms of the General Data Protection Regulation that came into effect 25th May 2018, and to the responsible and secure use of your personal data.

The type of personal information we collect

Rephael House collects personal information from you when you enquire about our services for us to set up an initial appointment. This information includes contact details, date of birth, gender, ethnicity, availability, postcode and personal details related to the referral, and how you heard about our service. When you commence therapy additional information regarding your GP and emergency contact details are recorded.

Rephael House collects contact details for supporters, to keep you updated on our services. Rephael House does not share email databases with other organisations and businesses. This data is stored securely for as long as you agree to be kept informed of Rephael House’s activities.

Rephael House collects personal information about staff, sessional workers and volunteers, including contact details, date of birth, qualifications and accreditations, CV and bank details (if paid) when they join Rephael House. This information is collected to ensure staff, sessional workers and volunteers are suitably qualified to carry out their job requirements. This information is not shared with any other organisations or businesses without prior consent.


How we get the personal information and why we have it

The personal information we process is provided to us directly by you either via our website, on the telephone, or in person, for us to provide counselling services.

We may also receive personal information indirectly from referrers, which is used to provide counselling services.

We use the information that you have given us in order to ensure that we provide you with the best possible service.


Sharing information

Rephael House will not pass on your personal data to third parties without first obtaining your consent, unless there is a legal requirement, a safeguarding issue, or risk of harm to self or others. Rephael House will not do anything with your information that you would not reasonably expect.

Data about our services is used to report to funders and NHS England; in this event information submitted is non-identifiable.

Under the UK General Data Protection Regulation (UK GDPR), the lawful bases we rely on for processing this information is ‘Your consent’. You can remove your consent at any time. You can do this by contacting admin@rephaelhouse.org.uk


How we store your personal information

Your information is securely stored on our password protected database.

Once you finish therapy, all data regarding your counselling is stored securely for 7 years. After 7 years, personal details are removed.

For Rephael House supporters, data is stored securely for as long as you agree to be kept informed of Rephael House’s activities.


Websites and Cookies

This privacy notice does not cover any links within the Rephael House website which may link to other websites or services. Those websites and services are not governed by this Privacy Policy. Any questions relating to how those websites and services use your information will need to be check in accordance with that service’s privacy statement.

Rephael House website uses ‘cookies’, which are text files placed on your computer to collect standard internet log information and visitor information in an anonymous form. No personal information is gathered or recorded. However, if you do not want to receive cookies from the website, you can turn off the feature without affecting any of the features of this website.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
